2008 MIMS Relay (Frequent Participant) PolicyDue to overwhelming demand from relay team applicants, NYC Swim has instituted the following relay team entry policy for MIMS 2008.
MIMS 2008 will have slots for up to 18 relay teams (2, 4 or 6 swimmers per team). There are three ways to qualify:
CATEGORY A
Four relay slots will be reserved for teams in which EACH MEMBER has participated, as a competitor or volunteer, in EVERY 2007 NYC Swim race day, with the exception of MIMS, the MIMS "Quiet Swims" and the Ederle Swim. This very high "frequent participant" category is intended to recognize the local swimmers who constitute the heart of our organization. A maximum of two 2-person relay teams may qualify in Category A.
Category A will be determined before entries open in Category B. If more than four teams qualify in Category A, NYC Swim will hold a lottery among the qualifying teams. The non-winning teams may apply for a Category B or Category C slot. If fewer than four teams qualify, NYC Swim will allocate the remaining slots to Category B.
CATEGORY B
Four relay slots (plus any unused relay slots from Category A) will be allocated on a first-applied, first-admitted basis. The team has “applied” when all of the team members have completed the application and met the MIMS qualifying standards. Two of the Category B slots will be reserved for relay teams of which at least half the members are non-U.S. residents.
CATEGORY C
Ten relay slots will be reserved for teams which fundraise, including corporate teams sponsored by the swimmers' employer. The minimum fundraising commitment for the non-corporate teams will be $5,000 for 2-person relays, $7,500 for 4-person relays, and $10,000 for 6-person relays. The entire specified minimum amount, and 25% of the proceeds over that minimum, will aid NYC Swim's learn-to-swim and water quality efforts. All the remaining proceeds will go to the charity of the team's choice. If fewer than ten relay teams choose to fundraise, the unused slots will NOT be added to Category B.  Acceptance and Rejection 2007All applicants will be notified of their status no later than one month after the Enrollment Day. All qualified applicants who are not accepted will have the opportunity to be placed on a Waiting List. If we are able to expand the field, or if any accepted solo swimmers or relay teams withdraw, we will offer spaces to those applicants on the Waiting List, based on the order in which the applications were completed, with consideration given to the Field Diversity objectives listed above.
Applicants who are accepted off the Waiting List will have their credit card charged once the applicant has accepted the enrollment offer. These applicants are required to submit proof of their Qualifying Swims and Medical Forms within 14 days of their acceptance offer, and no later than seven days prior to race day (June 9, 2007).  Add or Remove Crew MembersA user may only Add or Remove a Crew Member PRIOR to the APPROVAL of the User’s Application’s by NYC Swim. Once APPROVED, any changes to your crew must be coordinated by corresponding with the NYC Swim administrator, Hannah Borgeson.
It is HIGHLY recommended that your crew members already have a user profile on the NYC Swim website, prior to following the instructions below. If not, have them create an account. Note that all crew members must confirm their participation no later than January 19, 2008.

Please update your User Profile before Enrollment Day. By following the Enrollment Preparation section, you can, in advance and in a separate document, prepare all of your information, which then will be "ready to paste" into the application on Enrollment Day.  Application Committee - 2007The 6 member application committee is made up swimmers who have individually participated multiple times in past MIMS as soloists, relay participants, crew members or observers. They have served on the committee for multiple years. They recuse themselves from determining whether to accept any applicant who presents a conflict of interest.  Charity - 2007NYC Swim’s events are opportunities for individuals and companies to raise funds for their preferred charity. Founded as a 501c3 in 1993, NYC Swim organizes swim events to help fund and supports its mission. Preference is given to those registrants who select to utilize NYC Swim’s events as fundraisers.
NYC Swim requires that any fundraising around its races be done through its website, where donations are processed, tracked and publicized. The website possesses advanced functionality, allowing participants and donors track donations in real time and to print out receipts immediately. Additionally, NYC Swim’s support team provides participants with fundraising assistance, tips, tools and copy as needed.
There are two enrollment classes which govern how participants may fundraise:
open (voluntary) and Category C (obligatory).
Category A&B, Open (voluntary)
Participants, who apply and are accepted through the NYC Swim’s open enrollment process, may select to fundraise as a way to enhance their event experience. Participants may choose to fundraise for NYC Swim only, or include a charity of their choice. In that instance, proceeds are split 50/50 between NYC Swim and the selected charity.
Category C (obligatory)
Participants, who apply and are accepted for one of the relay slots reserved for fundraisers, including corporate teams, have minimum fundraising requirements. The minimum fundraising commitment for the non-corporate:
2-person relay is $5,000,
4-person relay is $7,500, and for
6-person relay is $10,000.
The entire minimum, and 25% of the proceeds over minimum, will aid NYC Swim's learn-to-swim and water quality efforts. All the remaining proceeds will go to the charity of the team's choice.  Complete ApplicationThe Application Committee will review and evaluate only complete applications. Please follow the suggestions in the Enrollment Preparation section to reduce your application completion time. Aspiring relay team participants should review the Relay Team Enrollment Process.
An application is broken into two parts: the User Profile and the Event Application. Each type of enrollee (Solo, Relay Captain, 2-Person Relay Member, 4-Person Relay Member and 6-Person Relay Member) has unique requirements (Required Fields). As part of the enrollee’s Enrollment Preparation, we strongly recommend that each enrollee’s User Profile be as complete as possible.
Certain enrollment supporting materials are not required to be submitted on Enrollment Day and have their own due dates (please see Enrollment Timeline). However, please note that enrollments are approved on a first-come, first-serve, first-completed, first-accepted basis. We highly suggest that applicants submit all items as soon as possible. Preference will be given to the first qualified applicants who complete the entire application.  Enrollment DayTo be considered submitted and ready for approval, an application must be fully completed using the online form (Complete Application). Applicants must document their competency to participate in the event (Qualifications). Among qualified applicants, acceptance will be on a first-come, first-served, first-completed, first-accepted basis (Field Diversity). NYC Swim’s swim events are opportunities for individuals and companies to raise funds for their preferred charity. If a registrant selects this option, donations will be processed, tracked and publicized via NYC Swim 's web site, whereby receipts will be shared 50/50 between the registrant's favorite cause and NYC Swim Charities.
NYC Swim organizes the swim events to help fund and support its goals. Preference will be given to those registrants who elect to utilize this event as a fundraiser. For additional information, see Charity below.
Crew Members - (Solo and 2-Person Relay Captains)
It is strongly recommended that the Crew Members thoroughly complete their User Profile prior to Enrollment Day. All solo swimmers must choose at least one and no more than two boat crew members to support them during the event. Two-person relay swimmers are limited to one boat crew member.  Enrollment Timeline - 2007Please check the timeline for Swimmers which displays the ultimate deadlines for various enrollment items. Again, enrollments are approved on a first-come, first-serve, first-completed, first-accepted basis; so we highly suggest that you submit things sooner than the deadline.  Error Message - Email already exist in DBThe NYC Swim system allows an email address to be used ONLY once. Two users may NOT share the same email address. This policy helps prevents unauthorized, third party access to a User’s personal information and communications. We recommend that each NYC Swim website User establish his/her own PRIVATE email address (Gmail, AOL and Yahoo are possible options).  Event DemandIn recent years, the MIMS solo event has closed out in less than one day and the relays in less than one hour. It is essential that applicants do their homework in advance (Enrollment Preparation) AND on Enrollment Day complete all their application information thoroughly and correctly.  Field DiversityDue to the limited number of support boats, kayakers and volunteers available, as well as governmental regulation of the waters surrounding New York City, NYC Swim must limit the number of MIMS participants. Additionally, NYC Swim aspires to have a diverse participant field allowing for a rewarding and enriching experience.
The MIMS field is comprised of the following:
1 25 solo swimmers, including (one applicant may satisfy several criteria) at least: (a) 5 non-U.S. residents, (b) 5 women, and (c) 5 MIMS veterans
2. up to 18 relay teams, with an approximately equal balance among teams with 2, 4 or 6 members.
Two relay slots will be reserved for teams of which at least half the members are non-U.S. residents. If there are not enough applicants from outside the United States, preference for these slots will be given to teams from outside the New York area. (Please see the 2008 MIMS Relay Policy for full details.)  Forget your Account's PasswordUser accounts are created either by the user OR the NYC Swim system, when a Manhattan Island swimmer/participant designates his/her swim support “crew” members. A user may request his/her account’s password by clicking here. Once User complete’s the form, the NYC Swim system will send by email the password on file to the User’s email address.  MIMS Application Procedures 2007Applications for the Manhattan Island Marathon Swim will be available on the website on December 1 at 1 pm Eastern Time. All applications must be filed using the online form, and must be submitted within two weeks of when the application is made available (the “Application Deadline”). Space does not permit us to consider applications received after that date. Please see the MIMS timeline for more specific dates regarding the application.
To be considered, all applications must be fully completed. Among qualified applicants, acceptance will be on a first-come, first-accepted basis. Please see the “field” description below.
Payment: All Applications must include payment in full of all entry fees upon submission of the applications.
- Application Information for 4-Person and 6-Person Open Relay Teams

Qualifying Swims: All relay team applications must include complete information on each member of the team, including proof that each member has completed a qualifying swim. Qualifying swims for four-person and six-person teams include:
- an open water swim race of at least 1500 meters;
- a triathlon that includes a swim leg of at least 1500 meters; or
- a NYC Swim open-water swim race of any length.
Each member of a 4-person or 6-person relay team must complete the qualifying swim BEFORE submitting the team application. Proof of qualifying swims includes an appropriate copy of, or link to, swim race results. Please see "Qualifications" below for additional information on qualifying swims. Note: Effective with MIMS 2008, a qualifying swim in the prescribed water temperature will be required of all relay swimmers, including 4-person and 6-person relays.
The complete application and all fees must be received by the Application Deadline (December 15, 2006). NYC Swim will not consider any incomplete applications of 4-person or 6-person relay teams or any applications that do not include payment in full of the team entry fee.
- Application Information for Solo Swimmers and 2-Person Relay Teams

Qualifying Swims: Proof of the qualifying swim must be submitted at least 60 days before MIMS Race Day (April 15, 2007). NYC Swim will rescind the acceptance of any solo applicant or two-person relay team that fails to submit proof of completion of its qualifying swim by that date. The complete application and all fees must be received by the Application Deadline (December 15, 2006). NYC Swim will not consider any incomplete applications for solo swimmers and 2-person relay teams or any applications that do not include payment in full of the entry fee. Applicants who have their acceptances rescinded will receive a refund of all fees they have paid, excluding the $100 enrollment and processing fees.
- MIMS FIELD SIZE
We currently anticipate that the MIMS field will be comprised of the following:
- 25 solo swimmers, including at least (a) 5 non-U.S. residents, (b) 5 women, and (c) 5 MIMS veterans (one applicant may satisfy several criteria)
- 7 open relay teams; and
- 6 corporate relay teams.
Based on the number of support boats, kayakers and volunteers available, we cannot offer any more places at this time.
- ACCEPTANCE AND REJECTION
All applicants will be notified of their status no later than one month after the Enrollment Day (January 1, 2007). All qualified applicants who are not accepted will have the opportunity to be placed on a waiting list. If we are able to expand the field, or if any accepted solo swimmers or relay teams withdraw, we will offer spaces to those applicants on the waiting list, based on the order in which the applications were received, with consideration given to the diversity goals listed above.
All rejected and wait-listed applicants will receive a refund of all fees other than a $25 processing fee. Applicants who are accepted off the waiting list must submit the full registration fee and proof of a qualifying swim within 14 days of their acceptance, or within seven days prior to race day (June 9, 2007), whichever is earliest.
- WITHDRAWAL BY APPLICANT

Obeserver Qualifying Swim Details for Solo SwimmersThe Observer Qualifying Swim must be four hours of continuous open water swimming, with in-water feedings. As is the case during the race, the clock continues to run while you feed. You might want to have a few people help you with this swim, preferably your intended crew, to keep a log and feed you while you remain in the water. This is an excellent opportunity to experiment with different hot and cold foods (solids & liquids), feeding intervals, strokes, swimming speeds, stretching, greasing up, etc., to determine what will work for you during the race. It is also permissible to have other swimmers accompany you during this swim. You can go as fast or as slow as you wish. Ideas for a course are swimming laps along a beach (your crew members can easily wade into the water to feed you), or swimming out to a certain point and back (with the possibility of using an escort boat or kayak). You must remain in the water for at least four continuous hours, and the water must be the prescribed temperature or lower.  Observer Qualifying Swim DetailsThe Observer Qualifying Swim must be continuous open water swimming for a specified time (4 hours for solo applicants, 2.5 hours for 2-person relay applicants; and 30 minutes for 4- and 6-person relay applicants), with in-water feedings for the longer swims. As is the case during the race, the clock continues to run while you feed. You might want to have a few people help you with this swim, preferably your intended crew, to keep a log and feed you while you remain in the water. Prescribed Water TemperatureThe 2007 MIMS Prescribed Water Temperature for Qualifying Swims is 63°F, (17°C) or colder.  Prescribed Water Temperature - Quiet IIIThe 2007 Manhattan Island Quiet Swim - III Prescribed Water Temperature for Qualifying Swims is 71°F, (21.67°C) or colder.  QualificationsAll applicants (Solo, 2-Person Relay Member, 4-Person Relay Member and 6-Person Relay Member) must document their competency to participate in MIMS. This can be done either by completing:
1) a similar event or race in a Prescribed Water Temperature (Event Based Qualifying Swim), or
2) a non-event qualifying swim logged by an observer in a Prescribed Water Temp (Observer Qualifying Swim).
Proof of the qualifying swim must be submitted by the date and time delineated in the Enrollment Timeline. NYC Swim will rescind the acceptance of any applicant who fails to submit proof of their Qualifications by that date and time.
Event Based Qualifying Swim
The following are Event-based Qualifying Swim requirements for each enrollee type. Applicants must add the Qualifying Swim events to their profile by following the instruction in Steps to Add Non-NYC Swim Event. Please remember, if you do not have an Event-based Qualifying Swim that meets the requirements listed below, you must submit an Observer Qualifying Swim.
Solo
• Solo or 2-Person Relay finisher of the Manhattan Island Marathon Swim in 2006 or 2007, or
• Finisher of the Ederle Swim in 2006 or 2007, or
• Finisher of the English Channel Solo Swim in 2006 or 2007, or
• Finisher of the Catalina Channel Solo Swim in 2006 or 2007
2-Person Relay Team Members
• Solo MIMS Requirements above, or
• Finisher of a 4-Person MIMS Relay in 2006 or 2007.
4-Person and 6-Person Relay Team Members
• 2-Person Relay Team Members MIMS Requirements above, or
• Finisher of a 6-Person MIMS Relay in 2006 or 2007, or
• Finisher of an open water swim race of 1500 meters or longer in a Prescribed Water Temperature or colder, completed between June 1, 2007 and April 15, 2008, without a wetsuit, or
• Finisher of a triathlon with a swim leg of 1500 meters or longer in a Prescribed Water Temperature or colder, completed between June 1, 2007 and April 15, 2008, without a wetsuit, or
• Finisher of NYC Swim open-water swim race of any length in a Prescribed Water Temperature or colder, completed between June 1, 2007 and April 15, 2008, without a wetsuit.
Observer Qualifying Swim
If an applicant does NOT have an Event Based Qualifying Swim, then the applicant must submit proof of an Observer Qualifying Swim. The Observer Qualifying Swim must be without a wetsuit; in water which is the Prescribed Water Temperature or colder; completed between June 1, 2007 and April 15, 2008; at a beach or lake of your choosing (not a pool); observed by an impartial/neutral observer; and for a length of time which is delineated below. For Solo swimmers, the swim must be consistent with the Observer Qualifying Swim Details for Solo Swimmers.
Length of Time
Solo - Four hours or longer 2-Person Relay Team Members - Two hours and thirty minutes or longer 4-Person and 6-Person Relay Team Members - Thirty Minutes or longer
Proof of an Observer Qualifying Swim should be submitted in the form of a detailed log. You may download a sample log template by clicking here. Please print it out (four times for solo applicants, three times for 2-Person relay applicants and one time for 4-Person and 6-Person relay applicants) and submit it by scanning and uploading it into your profile (Upload an Observer Qualifying Swim) or faxing it to us at 212-784-6850 with your observer's certification. Proof of an Observer Qualifying Swim may be submitted in the form of official race results but will be evaluated on a case-by-case basis.
If the applicant has not completed the Observer Qualifying Swim by the Enrollment Day, an application MAY be approved subject to the submission of proof of the Observer Qualifying Swim on or before the date in the Swimmers' Timeline. Race Rules I - VI. RACE COURSE TIME LIMITATIONS

throughout the course will be strictly adhered to unless the
Race Director determines that conditions warrant an extended
time limit. You agree, in signing the waiver, to be pulled from
the race if you do not make these cut-off times:

- Pier 26 9 hours 10 minutes.
II. CLOTHING
- One swimsuit, goggles, earplugs, nose clip and grease will be allowed.
Women may wear suits that come up to their necks, with the
zipper up the back. Men may not wear suits that cover their
torsos. Both men and women may wear suits that go down to
their knees. Neither men nor women may wear suits that cover
their shoulders in any way. All swimming costumes must be
made of a porous material and conform to the "traditional"
swimming suit style. The "wetsuit style" suits
and other suits that increase buoyancy or heat-retention are not allowed. For that reason, Speedo Aquablade, Speedo FS II, Speedo Fastskin, TYR Aqua Shift, TYR Aquapel, TYR Fusion2, Nike Liftsuit, and suits with similar materials are not permitted.
- One race cap will be provided with swimmer’s race
number and must be worn for the entire race. Swimmers may
specify their preference for either a latex or silicone
race cap.
If you have any questions about permitted suits, it is your responsibility to email Hannah Borgeson at hborgeson@nycswim.org, preferably with a catalogue picture of the suit you propose to wear, and obtain written pre-race clearance. Hannah will then share your request with the Application Team to obtain clearance.
III. ASSISTANCE
- Swimmers may not use flotation aids, propulsion devices,
or any devices used to maintain body heat. Fins, wet suits,
hand paddles or boards are prohibited. Swimmers may not
use suits that give buoyancy or are heat-retentive.
- Pacing, drafting and towing are not allowed.
- Swimmers may not touch the escort boat, kayak, or any
other boat during the event.
- Swimmers shall be disqualified if there is any physical
contact with another swimmer or with other persons or objects.
- All solo swimmers must bring at least one and no more
than two boat crew members. Two-person relay swimmers must
bring one boat crew member. NYC Swim will supply the boat captain
and kayaker.
- Swimmers must make their own arrangements for food and
feeding assistance.
- The use of alcohol or illegal drugs is forbidden.
- Any unsanctioned assistance or materials given to the
swimmer will result in disqualification.
IV. POLLUTION
The swimmer shall be disqualified if the swimmer or his or
her crew members pollute the waterways with cups, trash or other
debris before, during or after the competition.
V. PERSONAL PROMOTION
Swimmers may not:
- Allow crew members to wear T-shirts, caps, etc. during
any NYC Swim event that promote third-party sponsors, causes
or charities, without NYC Swim’s prior approval.
- Engage personal public relations professionals or agents
with NYC Swim’s prior written approval, granted at least
four weeks prior to the event.
 Relay Team Alternate and Substitution Policy - 2007On Enrollment Day, relay team captains may list up to two alternate swimmers (1 alternate for 2-person and 4-person relays; 2 alternates for 6-person relays) as part of their teams in the essay section of the application form. These specified alternates must meet the same qualification criteria as the primary members of the relay team. Should a primary member of the team be unable to participate in MIMS, team captains should contact NYC Swim and request a substitution with an approved alternate.
After enrollment has been completed, relays may not add alternate swimmers to the teams, and teams may not make substitutions outside of the approved alternates except due to documented medical conditions preventing the participation of an enrolled relay team member. 2-person and 4-person relays are allowed one substitution for medical reasons; 6-person relays are allowed two substitutions under the same circumstances. All requests for substitutions due to medical reasons must be submitted no later than 14 days before race day.
If a relay swimmer has to withdraw for non-medical reasons and the team does not have an approved alternate to substitute for that swimmer, the team’s slot will be forfeited to a relay team on the waitlist. Similarly, any team whose composition is changed substantially due to substitutions (whether for medical or other reasons) will forfeit its slot to a relay team on the waitlist. This policy ensures that the waitlisted teams are treated fairly.
 Relay Team Enrollment ProcessAfter all applicants have completely filled out their User Profiles prior to the Enrollment Day, Relay Teams should follow the steps below to assure that their Relay Team’s application is considered complete.
Prior to the Enrollment Day:
1) Come up with a Team name and a full roster of swimmers, including up to two alternates.
2) ALL relay members (2, 4 and 6 Person Relays and alternates) should complete their respective > User Profiles
On Enrollment Day:
1) Relay captain logs in, creates enrollment, creates team name, completes his or her required fields and enters
credit card number

 Rules VI - VIII (2007)VI. RELAY RULES
- Two, four or six persons per relay, independent of gender
or age.
- 4 and 6-person relay swimmers will alternate every forty-five
minutes for the first rotation & every thirty minutes
thereafter.
- Two-person relay swimmers will alternate every two hours.
- Swimmers must alternate within the last 3 minutes of
a swimming segment.
- The order of the swimmers must be set prior to the start
of the event.
- The transition must be executed by approaching the swimmer
in the water from behind and is deemed completed once the
ENTERING swimmer fully passes the DEPARTING swimmer.
- No crew members are allowed on the 4- and 6-person escort
boats. Two person relays may have only one crew member.
VII. SAFETY MEASURES
- Swimmers will be accompanied by an escort boat and kayak
provided by NYC Swim.
- Each escort boat will be equipped with a VHF radio and
first aid kit. Crew members are encouraged to bring cell
phones.
- EMS and Coast Guard will be on standby for emergencies.
- One race official will be assigned to each escort boat
and will monitor the swimmer for the entire duration of
the race.
- NYC Swim strongly suggests swimmers make sure that their tetanus
vaccinations are current. We also suggest that swimmers
be vaccinated against hepatitis.
- Race insurance is up to the swimmer’s discretion.
VIII. MISCELLANEOUS
- All solo and 2-person relay participants must have their
physicians complete the enclosed medical form, as well as
provide written certification (in English), stating that
the entrant is physically and mentally fit for this event.
- The organizers may change the starting time of the race
if weather conditions are unfavorable.
- All swimmers and crews must attend the general meeting
on June 15 to receive final instructions (meeting times and
location will provided upon acceptance). Participants and
their support personnel should arrive in NYC by the evening
of June 14.

Click 'Save'  Waitlisted - 2007All qualified applicants who are not accepted will have the opportunity to be placed on a waiting list. If we are able to expand the field, or if any accepted solo swimmers or relay teams withdraw, we will offer spaces to those applicants on the waiting list based on the order in which the applications were completed, with consideration given to the Diversity objectives listed above. Applicants who are on the waiting list are advised to have their enrollments as complete as possible in the event that additional MIMS slots become available.
Applicants who are accepted off the waiting list will have their credit card charged once the applicant has accepted the enrollment offer. These applicants are required to submit proof of their Qualifying Swims and Medical Forms within 14 days of their acceptance offer, and no later than seven days prior to race day (June 9, 2007).  Withdrawal by Applicant - "Quiet" SwimsAccepted swimmers may withdraw from the race at any time and for any reason.
Accepted swimmers who withdraw more than 90 days before Race Day will receive a refund of all application fees other than the $100 enrollment and processing fees.
Accepted swimmers who withdraw more than 60 to 90 days before Race Day will receive a refund of 50% of their application fees, other than the $100 enrollment and processing fees.
Accepted swimmers who withdraw 30 to 59 days before Race Day will receive a refund of 25% of their application fee, other than the $100 enrollment and processing fees.
Accepted swimmers who withdraw fewer than 30 days before Race Day will not receive a refund of their application fee.
No entrant may sell, trade or otherwise allow another person to use an entry. Such substitutions jeopardize our insurance and our ability to secure the permits necessary to produce future events. Anyone found to be participating under another person's entry will be disqualified from the event, and both the participant and the original registrant will be barred from all future NYC Swim events.
